Exporting contacts to CSV

Objective

This guide demonstrates how to export your member data from Recur into a CSV file. This is useful for creating physical mailing lists, performing offline data analysis, or migrating information to other administrative tools.

Key Steps

Step 1: Access the Contacts List

  • Navigate to the Contacts tab in the main menu.

  • Select People to view your full directory of contacts.

Step 2: Select Your Contacts

You have several options for choosing which data to export:

  • Export All: Click the white checkbox in the top left corner of the table (to the left of the "Name" column header). This will instantly select every contact in your current view.

  • Export Specific Group: Manually click the checkbox next to individual names.

  • The "Select & Remove" Method: If you need to export almost everyone, select the "All" checkbox first, then manually de-select the few individuals you wish to exclude.

Step 3: Open the Actions Menu

  • Once your contacts are selected, an Actions button will appear in the upper right-hand area of the screen.

  • Click on Actions to reveal the dropdown menu.

Step 4: Download the CSV File

  • Select Download Contacts from the list of actions.

  • The system will generate a file titled "Contact Details."

  • Click on the download notification or check your computer's "Downloads" folder to access the CSV file.

Cautionary Notes

  • Data Privacy: CSV files contain sensitive member information (emails, phone numbers, addresses). Ensure these files are stored securely and only shared with authorized association personnel.

  • Large Lists: If you have thousands of contacts, the download may take a few moments to generate. Do not refresh the page until the download prompt appears.

Tips for Efficiency

  • Filter Before Export: If you only need to export members of a specific group (e.g., "Board Members"), use the Filter tool on the People page before selecting the "All" checkbox. This ensures your CSV only contains the relevant segment.

  • Excel Compatibility: CSV files are universal and can be opened in Microsoft Excel, Google Sheets, or Apple Numbers for easy sorting and formatting.
