Managing refunds and invoices in Recur

Managing an association’s finances can be complex, especially when using older systems or manual spreadsheets. This guide demonstrates how Recur simplifies Refund Management and Invoice Tracking, providing a clear real-time view of your online and offline transactions.
Managing Refunds
Issuing a refund in Recur—whether for a membership, event, or product—takes only a few clicks.
Step 1: Locate the Transaction
Navigate to the Revenue tab and select Payments.
This screen shows a unified list of all transactions, including credit cards, bank transfers, and offline payments (cash, check, or trade).
Find the specific member or transaction you wish to address (e.g., Sandra Allen).
Step 2: Issue the Refund
Click on Actions next to the payment and select View Payment.
Click the Refund button.
Choose the Amount: You can issue a Full Refund or a Partial Refund by entering a specific dollar amount (e.g., refunding $388 of a $688 payment).
Click Submit to finalize.
Tracking Invoices
Recur’s invoice dashboard acts as a command center for your outstanding revenue, replacing the need for separate QuickBooks or Excel tracking.
Step 1: Access the Invoice Dashboard
Go to the Revenue tab and select Invoices.
You will see a full breakdown of all invoices: Drafts, Sent, Paid, and Overdue.
Step 2: Use Quick Filters
The colored boxes at the top of the screen serve as instant filters to help you prioritize your tasks:
Overdue (Red Box): Click this to instantly see exactly which invoices are late and the total dollar amount currently outstanding (e.g., 15 overdue invoices totaling $10,000).
Paid (Green Box): Click this to view all successfully completed transactions.
Drafts/Sent: Use these to track which invoices are ready to be sent or are currently awaiting member action.
Cautionary Notes
Offline Payments: Remember that while Recur can track cash and check payments, "refunding" an offline payment in the system is for bookkeeping purposes only—you must still manually return those physical funds.
Stripe Sync: Online refunds issued through Recur are automatically synced with your Stripe account, so you don't need to log in to both platforms to manage a return.
Tips for Efficiency
Partial Refunds: Use partial refunds for event cancellations where you might retain a small processing fee while returning the rest of the registration cost to the member.
Proactive Collections: Check the Red Overdue Box once a week. This allows you to quickly identify high-value outstanding invoices and send follow-up reminders in seconds.
Unified Reporting: Because Recur tracks both online and offline payments, your year-end financial reports will be complete without having to merge data from multiple sources.
