Using Event Templates

Objective

This guide explains how to create event templates in Recur so organizations can quickly reuse event settings for recurring events such as conferences, webinars, and meetings.

Key Steps

Step 1: Navigate to Event Settings

  • Start from the home screen.

  • Go to Settings.

  • Click Events.

  • From this page, you will see options for:

    • System time zone

    • Custom data forms

    • Event templates

Step 2: Understand Custom Data Forms

  • Custom data forms allow you to collect event-specific information from registrants.

  • For example, you might ask about dietary restrictions during event registration.

Step 3: Review Existing Event Templates

  • Scroll to the Event Templates section.

  • Here you can view templates that have already been created.

  • Click on any template to edit it.

Step 4: Create a New Event Template

  • Click New Template.

  • Enter a name for the template (for example, Quarterly Event Template).

  • Optionally add a description to explain how the template will be used.

Step 5: Select the Event Mode

  • Choose the event structure that best fits your event:

    • Standalone Mode – A single event.

    • Conference Mode – A large event that contains multiple sessions.

    • Session Mode – Individual sessions that belong to a conference event.

  • Select the mode appropriate for your event type.

Step 6: Configure Public Page Settings

  • Enable the Public Page option if you want the event to appear on your website.

  • Add default content such as:

    • Event description

    • Default event image

Step 7: Set Registration Defaults

  • Enable Registration if attendees will register for the event.

  • Configure default registration details such as:

    • Event capacity

    • Registration deadline

Step 8: Configure Payments and Discounts

  • Enable Payments and Discounts if the event requires payment.

  • Add default pricing information such as:

    • Event fee

    • Guest limits

    • Processing fees

    • Member discounts

Step 9: Set Optional Automation Features

  • Enable Automated Messages to automatically send reminders to attendees.

  • Use Tasks to track internal to-do items related to the event.

Step 10: Save the Event Template

  • Click Save once your template settings are complete.

  • You can now use this template when creating new events.

  • Choose the correct event mode to ensure events and sessions are structured properly.

  • Review payment and registration settings carefully before saving the template.
