Managing event registrants

Objective

This guide explains how to view event registrants, filter RSVP responses, download guest lists, and manually add guests to events in Recur.

Key Steps

Step 1: Navigate to Events

  • Start from the home screen.

  • Go to Engage.

  • Click Events.

  • This will display a list of all events in your system.

Step 2: Open the Event Guest List

  • Select the event you want to manage.

  • Click the View Guests button.

  • This will open the list of people registered for the event.

Step 3: Review Event Registration Status

  • View the event capacity and the number of current registrants.

  • See how many attendees have responded with:

    • Yes (Registered)

    • Maybe

    • No

Step 4: Filter Registrants by RSVP Status

  • Use the filter buttons at the top of the page.

  • Quickly view only:

    • Registered attendees

    • “Maybe” responses

    • “No” responses

Step 5: Download the Guest List

  • Select the checkboxes next to the contacts you want to export.

  • To export everyone in a filtered list, select the top checkbox to select all.

  • Use the bulk actions menu to choose Download.

  • The system will export the guest list as a CSV file.

Step 6: Use Additional Bulk Actions

  • After selecting contacts, you can also:

    • Send an email campaign to the selected guests

    • Remove guests from the event if necessary

Step 7: Manually Add a Guest

  • Click Add Guest in the top right corner.

  • Enter the guest’s information.

  • Save the entry to add them to the event.

Cautionary Notes

  • Verify event capacity before manually adding additional guests.

  • Double-check guest information when adding contacts manually.

Tips for Efficiency

  • Use RSVP filters to quickly identify attendance status.

  • Export guest lists when preparing check-in sheets or reports.

  • Manually add guests when attendees pay outside the system (such as cash or check).
