Objective
This guide explains how to use Recur’s financial management tools to process refunds and track invoice statuses. These tools are designed to streamline the accounting process, providing a clear alternative to manual systems like spreadsheets or older legacy platforms.
Key Steps
Step 1: Navigating to Financial Records
Payments View: From the main dashboard, navigate to the Payments section. This area provides a unified glimpse into:
Online Payments: Credit card and bank (ACH) transactions.
Offline Payments: Manual records for cash, checks, or trade-in credits.
Invoices View: Go to Revenue > Invoices to see a full chronological breakdown of all billing activity.
Step 2: Issuing Full or Partial Refunds
Navigate to Revenue > Payments
Select either Receipts or Stripe Payments (depending on how you want to search for the record)
Locate the specific payment you need to refund
On the far right of that payment row, click the 3 Action dots (ellipsis)
Select View Payment Details
In the top right corner of the details screen, click the Refund button
Choose the Amount: A pop-up will appear allowing you to select a Full Refund or enter a Partial Amount
Confirm the action to process the return
Step 3: Managing Invoices via Quick Filters
The Invoices page features high-visibility "Status Boxes" at the top that act as Quick Filters. These allow you to instantly isolate specific financial categories:
Drafts: Invoices that have been created but not yet finalized or sent.
Sent: Invoices that have been issued to members but are not yet paid.
Paid: A list of all completed transactions for reconciliation.
Overdue (Red Box): Click this to instantly see a list of late payments. The box displays both the number of invoices (e.g., 15) and the total dollar amount outstanding (e.g., $10,000).
Step 4: Reviewing Financial Health
Use the filtered views to determine which members require follow-up.
Review the audit trail within each invoice to see when it was created, sent, or marked as overdue.
Cautionary Notes
Refund Availability: The "Refund" option is specifically tied to recorded payments. If an invoice is marked as "Overdue" or "Sent" but no payment has been processed, you cannot issue a refund; you would instead need to void or edit the invoice.
Partial Refunds: Be precise when entering partial refund amounts, as this will adjust the remaining balance and financial reporting for that specific transaction.
Offline Records: Ensure all cash and check payments are recorded accurately in the "Offline Payments" section so your Invoice status filters (like the "Overdue" box) remain accurate.
Tips for Efficiency
Priority Collections: Regularly click the Red Overdue Box to prioritize collection efforts based on the total outstanding amount shown.
Feedback-Driven Design: Recur’s financial tools are built based on direct feedback from association leaders. If a specific financial workflow is missing, use the community feedback channels to suggest improvements.
Simplified Reconciliation: Use the "Paid" quick filter at the end of the month to cross-reference your Stripe or bank statements with your Recur records.
