Creating custom event forms and managing sponsorships

Objective
This guide explains how to create custom event forms, connect them to events, and configure add-ons such as sponsorships and booths in Recur.
Key Steps
Step 1: Create a Custom Event Form
Navigate to Settings.
Select Event Settings.
Click Custom Data Forms.
Click New Form and create a form (example: RSVP and Dietary).
Open the form to access the Field Editor.
Step 2: Add or Edit Fields in the Form
Enter the field name.
Select the field type (text, list, checkbox, etc.).
Enable Visible so registrants can see the field.
Click Add to add the field to the form.
Use drag and drop to reorder fields if needed.
Click Save to store the form.
Step 3: Attach the Form to an Event
Open the event where you want the form used.
Confirm the custom form (for example, RSVP and Dietary) is connected to the event.
Once attached, registrants will complete the form during event registration.
Step 4: Ensure Products Are Public
Navigate to Revenue > Products.
Locate the products you want available for purchase (such as sponsorships or booths).
Confirm the products are marked Public.
Only public products will appear on your website for purchase.
Step 5: Add Sponsorship Add-Ons to an Event
Open the event and navigate to the Payments and Discounts section.
Locate the Add-Ons area.
Select the sponsorship products you want available.
Set a quantity (inventory) for each sponsorship level.
Example:
Silver Sponsorship → Inventory: 20
Once all 20 are sold, the option will no longer appear for purchase.
Step 6: Create Booth Products
Navigate to Revenue > New Product.
Select Product Type: Booth.
A Booth Configuration tab will appear.
Step 7: Configure Booth Inventory
Add booth details such as:
Booth Name or Number
Price
Description (size, location, etc.)
Example booth pricing:
Corner Booth → $150
Center Booth → $100
Double Booth → $250
Each booth can only be sold once, preventing overselling.
Step 8: Import Booths in Bulk (Optional)
Download the booth template file.
Create a spreadsheet with booth details.
Export the spreadsheet as a CSV file.
Upload the CSV to import all booth listings at once.
Step 9: Add Booths to the Event
Return to the event settings.
Navigate to Payments and Discounts.
Add the booth product as an add-on, similar to sponsorships.
Step 10: Allow Attendees to Select Booths
If you have a booth map, upload it as an image in the booth product.
Attendees can then select their preferred booth during registration.
Once a booth is purchased, it will disappear from the available options.
Cautionary Notes
Products must be public to appear on the event registration page.
Booth inventory is limited to one purchase per booth name, preventing duplicate bookings.
Tips for Efficiency
Use bulk CSV imports when creating large numbers of booths.
Add a booth map image to help attendees choose their booth location.
Set sponsorship inventory limits to prevent overselling.
