Using the calendar tool

Objective

This guide explains how to navigate and customize the Calendar Resource within Recur. This centralized tool allows association leaders to manage event schedules, track member milestones, and monitor internal tasks in a single, customizable interface.

Key Steps

Step 1: Access the Calendar

  • From the Recur homepage, navigate to the top menu bar and click on Tools.

  • Select Calendar from the dropdown menu to open the full calendar dashboard.

Step 2: Navigate and Change Views

  • Timeframes: Toggle between Month, Week, or Day views using the buttons in the top right.

  • Navigation Arrows: Use the arrows in the top left to move forward or backward through your selected timeframe.

  • Manual Date Selection: Use the center dropdown boxes to jump directly to a specific Month or Year. The system typically allows you to view data from 5 years in the past to approximately 10 years in the future.

Step 3: Identify and Filter Calendar Items

The calendar uses color-coded indicators to help you distinguish between different types of data:

  • Events: Displays scheduled association gatherings and meetings.

  • Birthdays: Represented by dark blue/grayish bars with the member’s name.

  • Tasks: Represented by orange circles.

  • Customizing Your View: If you want to hide specific items (e.g., Tasks), click the white rectangle filter at the top and uncheck the Tasks box. This allows you to focus exclusively on what is most relevant to your current schedule.

Step 4: Utilize the Events List View

For a more data-heavy perspective, you can switch from the grid view to a list view:

  • Switch View: Click on the View button in the top right and select Events.

  • Detailed Metrics: In this view, you can see:

    • Revenue: Total financial intake from the event.

    • Status: Whether the event is Published or a Draft.

    • RSVPs: A breakdown of "Yes," "No," and "Maybe" responses.

    • Attendance: Actual attendee numbers.

  • Management Actions: Directly from this list, you can Copy, Preview the Event Page, or Delete an entry.

Step 5: Search and Add New Events

  • Search Bar: Use the search bar to find specific entries, such as "Annual" events, across your entire schedule.

  • Add Event: Click the Event button in the top right corner. This will bring up your event templates to begin the creation process.

Cautionary Notes

  • Draft vs. Published: Be aware that "Draft" events will appear on your internal calendar for planning purposes but will not be visible to members on the public website until they are published.

  • Deletion Impact: Deleting an event from the calendar list view is permanent. Ensure you are confident before confirming the deletion of any active or past event.

Tips for Efficiency

  • Member Recognition: Use the "Birthdays" filter to identify upcoming member milestones, allowing you to proactively reach out or send automated birthday greetings.

  • Financial Oversight: The "Events" list view is the quickest way to get a snapshot of event-based revenue without navigating into the Revenue or Invoices sections.
