Objective
The Tasks app in Recur provides an integrated task management system to help association teams, staff, and board members assign, track, and complete operational duties. This guide gives a comprehensive overview of the dashboard analytics, task list and board views, calendar integration, and custom settings.
How to Access Tasks
From your Recur homepage, click the 9 dots (Apps menu) in the top-right corner.
Scroll down and select the Tasks icon to launch the application.
Core Sections & Features
1. Dashboard Overview
Upon opening Tasks, the central dashboard provides high-level metrics and visual charts:
Metric Cards: View real-time counts for Active Tasks, Overdue Tasks, High Priority Tasks, and Recurring Tasks.
Priority Distribution: View active tasks categorized by priority levels—Urgent (Red), High (Orange), Medium (Green), and Low (Blue).
Status Progress: Track the volume of tasks by their current state (Not Started, In Progress, or Completed).
Upcoming & Overdue Lists: Review items needing immediate attention. You can mark overdue items as completed directly from the dashboard by clicking the Green Checkmark button, or edit/delete them using the action icons.
Time & Filter Controls: Use the top-right filters to sort metrics by specific timeframes (Today, This Week, This Month, This Year), Priority Levels, or associated Events.
2. Tasks View (List & Board Layouts)
Navigate to Tasks on the left-hand menu to manage all created items:
List View: View task name, priority, status, due date, assignee, and associated event.
Actions: Under the Actions column, you can add sub-tasks, mark items completed, edit, or trash a task.
Filtering & Searching: Filter by priority, status, assignee, event, or recurrence.
Board View: Toggle to Board view in the top-right corner to view tasks in a drag-and-drop Kanban style categorized by status columns.
3. Calendar & Completed Tabs
Calendar View: Select Calendar on the left menu to view scheduled tasks on a monthly, weekly, or daily grid. Tasks are color-coded by priority level. You can hover over tasks for quick details or filter the calendar display by individual team members.
Completed Section: Select Completed on the left menu to view past completed tasks. Filter results by priority level, event, or who completed the task.
4. Settings & Customization
Select Settings on the left sidebar to adjust system preferences:
Google Calendar Sync: Connect your Google account to automatically sync tasks and due dates directly to your Google Calendar.
Automated Reminders: Trigger or check reminder checks manually. By default, Recur checks every hour for tasks approaching due dates and sends notifications to assigned users.
Custom Status Labels: Customize task workflow states. You can rename existing labels, change their display colors, reorder their position, or add new custom statuses.
Note: If you delete a status label, Recur will prompt you to reassign all existing tasks under that label to a new status before deleting.
Stuck Recurring Tasks: View and resolve recurring tasks that were saved without a valid due date, preventing them from generating their future series.
Cautionary Notes
Deleting Statuses: Deleting a custom status automatically reassigns all affected tasks to a new designated status. Ensure you select the correct destination status to avoid losing track of active items.
Recurring Due Dates: Always attach a due date to a recurring task to prevent it from getting flagged in the "Stuck Recurring Tasks" system.
Tips for Efficiency
Quick-Complete Overdue Items: Instead of opening every overdue task individual page, use the green checkmark icon directly on the dashboard quick list to clear backlog tasks instantly.
Calendar Member Filtering: When running team check-ins, use the calendar view's assignee filter to isolate an individual staff member's weekly workload.
