Objective
Creating tasks in Recur helps association teams and committee leads stay organized, assign duties to specific members, track small event details, and manage workload distribution. This guide explains how to create a primary task, set up automated reminders, assign sub-tasks, and track completion progress.
Step-by-Step Guide: Creating a Task
Step 1: Open the Task Builder
Navigate to the Tasks app using the left-hand navigation menu or the top-right app switcher.
Select Tasks on the sidebar menu underneath the main Dashboard.
Click the New Task button in the upper right-hand corner.
Step 2: Define Task Details
Title: Enter a direct, descriptive name for the task (e.g., "Grab paper plates for the barbecue").
Description: Add optional details or specific instructions (e.g., "Buy at Walmart").
Priority Level: Set the priority (Low, Medium, High, or Urgent) based on how quickly it needs attention.
Recurrence: Choose whether this is a One Time task or a recurring task (e.g., filing a weekly document).
Step 3: Assign Responsibility & Check Workload
Assign To: Choose whether to assign the task to an individual User or an entire Committee.
Select Assignee: Select the user's name (e.g., Jason).
Workload Indicator: When you select a user, Recur automatically displays their current active task volume to help you avoid over-assigning tasks.
Event Association: Select the relevant event from the dropdown menu (e.g., August Barbecue) to link the task directly to an event timeline.
Step 4: Schedule Due Dates & Automated Reminders
Due Date: Choose the target completion date on the calendar picker.
Automated Reminders: Configure an automated email reminder to go out a set number of days before the due date (e.g., set to remind the assignee 3 days before the due date).
Click Create to save and assign the task.
Managing Sub-Tasks
Sub-tasks allow you to break down a larger parent task into smaller, actionable steps.
Method 1: Direct Action Button
Find the parent task on your main Tasks list.
Under the Actions column on the right, click the Add Sub-Task button.
The parent task will automatically be linked in the form. Fill out the sub-task title and click Create.
Method 2: From the "New Task" Screen
Click New Task in the top-right corner.
Check the This is a Subtask checkbox at the top of the form.
Select the existing parent task from the Parent Task dropdown menu.
Enter the details and click Create.
Tracking Sub-Tasks: On the main task list, parent tasks display a sub-task counter (e.g.,
0 out of 1 sub-tasks completed) so you can monitor overall progress at a glance.
Searching and Filtering Tasks
Search Bar: Type keywords (e.g., "Barbecue") into the top search bar on the Tasks page to pull up related items instantly.
Quick Filters: Use the built-in quick filter chips to isolate specific workloads:

In Progress Tasks

Parent Task Dependency: A sub-task requires a valid parent task to exist first. If you plan to create a multi-step checklist, build the main parent task first before adding individual sub-tasks.
Workload Checks: Review an assignee's workload before setting urgent priorities to ensure deadlines are realistic.
Tips for Efficiency
Event-Based Organization: Always link tasks to their corresponding Event when applicable so all operational setup items remain organized under the same event profile.
Set Clear Lead Times: Configure reminder emails at least 2–3 days before the actual due date to give team members enough lead time to complete physical errands or document filings.
