Recurring section in revenue

Objective

This guide explains how to navigate and manage the Recurring section within the Revenue module. This dashboard is the central hub for tracking all subscription-based payments, such as memberships or recurring product sales, providing a comprehensive view of projected revenue and subscription health.

Key Steps

Step 1: Access the Recurring Dashboard

  • Navigate to the top of the Recur dashboard and click on the Revenue tab.

  • Select Recurring (the second option in the dropdown menu).

  • Source of Data: Note that all entries on this page are generated automatically based on Products you have previously configured with a "recurring" payment setting.

Step 2: Utilize the Revenue Forecasting Overview

At the top of the page, use the high-level overview cards to project upcoming income. These boxes serve as Quick Filters that, when clicked, isolate subscriptions based on their next billing date:

  • Next 90 Days: View revenue expected within the current quarter.

  • 91 to 180 Days: View mid-range projected revenue.

  • 181 Days to 1 Year: View long-term annual projections.

  • Over 1 Year: View projections for long-dated subscriptions.

  • Auto-Renew: Specifically filter for subscriptions set to renew automatically.

Step 3: Monitor Subscription Details

The main list provides a granular breakdown for every recurring sale. You can view and interact with the following data points:

  • Buyer & Invoices: Identify the customer. You can click on the invoice numbers directly to open the full billing history.

  • Salesperson & Dates: Review the assigned salesperson, the Start Date, and the Expiration Date.

  • Status Indicators: Instantly see if a subscription is Active, Cancelled, or Expired.

  • Financial Tracking: View the Total Price, the amount already Paid, and the scheduled date for the Next Payment.

Step 4: Manage Active Subscriptions

Within the list view, you can perform administrative actions on individual subscriptions:

  • View Invoice: Review the specific financial document associated with the subscription.

  • Cancel Subscription: Terminate the recurring billing cycle directly from this interface.

Step 5: Filter and Sort by Status

On the left-hand sidebar, use the status filters to organize your view:

  • Toggle between Active, Expired, and Cancelled views.

  • Review the specific revenue numbers associated with each status category to understand your association's retention and churn.

Cautionary Notes

  • Product Creation: If a sale is not appearing in this list, verify that the original Product was set as "Recurring" in the Revenue > Products section.

  • Cancellation Impact: Cancelling a subscription here stops future automated billing but does not automatically issue a refund for past payments. Refunds must be handled via the Payments section.

  • Filter Persistence: Always check which top-level revenue box or sidebar status is selected to ensure you are viewing the complete set of data you need.

Tips for Efficiency

  • New Sales: You can initiate a new recurring transaction directly from this page by clicking New Sale in the top right corner.

  • Forecasting Growth: Regularly check the 90-day and 1-year boxes to help your association's leadership plan for future budget allocations based on guaranteed recurring income.

  • In-Depth Filtering: Use the advanced filter tool at the top of the list to search for specific date ranges or buyer names when managing a large volume of subscriptions.
