Objective

This guide provides a comprehensive overview of the Receipts section in Recur. This dashboard serves as the central ledger for tracking every transaction—online or offline—allowing administrators to view detailed financial breakdowns, reconcile fees, and resend proof of payment to members.

Key Steps

Step 1: Navigate to the Receipts Dashboard

  • Go to the top navigation bar and click on Revenue.

  • Select Payments from the dropdown menu.

  • Click on Receipts located directly underneath Payments.

Step 2: Interpret the Ledger Columns

The homepage displays a detailed list of all successful transactions. You can view the following data for each entry:

  • Buyer & Date: The name of the individual or organization and the exact date the payment was processed.

  • Invoice: The associated invoice number. You can hover and click on the invoice number to view the full billing document.

  • Payment Method: Clearly identifies how the payment was made (e.g., Check, Card, Bank, Cash, or Trade).

  • Stripe Fee & Net Amount: For online payments, the dashboard shows the specific Stripe processing fee deducted and the final Net Amount your association receives.

  • Total: The gross amount paid by the member.

Step 3: Utilize Categorized Filtering

At the top of the page, the system automatically groups receipts into distinct tabs for quick reconciliation. Click on any of the following to filter the list:

  • Credit Card / Bank: To view all online transactions.

  • Cash / Check / Trade: To view all manually recorded offline payments.

  • Failed: To review transactions that did not process successfully.

  • Other: For payments that have not yet been strictly categorized.

  • Clear Filters: To return to the full list after viewing a specific category, click the Clear button in the top right-hand corner.

Step 4: Manage Individual Receipts (Actions)

Click the three dots in the Action column next to any receipt to access specific administrative tools:

  • View Payment Details: Open a deep-dive view of the transaction's specific metadata.

  • Send Receipt: Manually trigger a receipt email to the member.

    • Note: This is especially useful if a member misplaced their original confirmation or if you just recorded an offline payment that requires a follow-up.

Step 5: Search and Find Specific Records

  • Search Keyword Box: Use this field to quickly find a record by typing a member's name, an invoice number, or a specific transaction detail.

Cautionary Notes

  • Opt-In Requirement: You can only use the Send Receipt action if the member is currently opted-in to receive messages in their contact profile. If they are opted-out, the email will not be delivered.

  • Net vs. Gross: When reconciling your bank statements, always refer to the Net Amount column for Stripe payments, as this accounts for the processing fees already removed by the provider.

Tips for Efficiency

  • Quick Invoice Access: Use the hover-and-click shortcut on the invoice column to quickly verify line items without navigating away from the Receipts page.

  • Offline Verification: Regularly check the Check and Cash tabs to ensure that manual payments collected at events have been correctly entered into the system by your staff.

  • Clearing Workspace: Use the Clear button in the top right frequently when jumping between different payment types to ensure you aren't accidentally looking at a filtered subset of data.
