Attaching PDFs to email templates

Objective
Attaching PDFs directly to your email templates ensures that important documents—like member handbooks, event agendas, or application forms—are consistently delivered to your recipients. This guide demonstrates how to use the File Picker to manage and attach these documents.
Key Steps
Step 1: Open the Attachments Tool
Within the Recur email editor or template builder, look at the black top bar.
Click on the Attachments icon (represented by the Recur symbol).
Step 2: Access the PDF Library
Once the File Picker window opens, look at the menu in the middle.
Click the Arrow icon to the left of the PDF category.
This will display all PDFs currently stored in your MediRoute/Recur Library.
Step 3: Upload New PDFs
If the document you need isn't already in your library:
Click the Plus (+) sign within the file picker.
Select the PDF from your computer to upload it.
Once uploaded, it will appear in your PDF list for selection.
Step 4: Attach to Your Template
Click on the PDF(s) you wish to include.
Selection Limits: You can attach a maximum of three files per template.
File Size: The total size of your attachments cannot exceed 5 MB.
Once selected, the files will remain attached to this template whenever it is used.
Cautionary Notes
File Size Constraints: If your PDF is high-resolution and exceeds the 5 MB limit, consider using an online PDF compressor or hosting the file in your Media Library and providing a link instead.
Attachment Limit: If you need to send more than three documents, it is best practice to combine them into a single PDF or provide a link to a folder in your library.
Tips for Efficiency
Standardize Documents: Keep your "New Member Packet" or "Standard Sponsorship Prospectus" in the PDF library so any staff member can quickly attach them to new templates.
Check Your Library First: Before uploading a new file, always check the PDF library to avoid creating duplicate files with different names.
Link Alternative: For very large files, remember that you can upload a PDF to the Media Library, copy the link, and insert it as a button in your email body to bypass attachment size limits.
