Managing guest lists and RSVPs

Objective
This guide explains the different guest statuses and filter types available in the event guest list, helping you understand who is registered, pending, waitlisted, or added for communication purposes.
Key Steps
Review Registered Guests
View guests who registered through open enrollment events.
Include guests who responded “Yes” to an invitation.
Include guests who RSVP’d “Yes” and completed payment.
Include guests you manually marked as RSVP’d “Yes”.
Review Additional Guests
View guests added by registered attendees if additional guests are enabled.
Note that this section only appears if additional guests are allowed for the event.
Check Event Capacity
View the number of registered attendees compared to the event’s capacity.
Use this to quickly see how full the event is.
Understand the Wait List (Invoice-Based)
View guests who registered and chose “Pay by Invoice”.
These guests remain on the wait list until payment is received.
Mark invoices as paid manually if payment is received by check or offline.
Once payment is completed, guests automatically move to Registered.
Understand the Wait List (Capacity-Based)
View guests who joined a wait list after the event reached capacity.
Approve guests manually when space becomes available.
Once approved, guests move from the wait list to Registered after completing requirements.
Review Invitation Responses
View “Maybe” and “No” statuses when invitations have been sent.
Note that these statuses remain inactive if no invitations were sent.
Review Sponsors
View sponsors who have registered or signed up for the event.
Track sponsor participation separately from general attendees.
Add Guests Without Registration
Manually add guests to the event without registering them.
Added guests have no RSVP, registration, or invoice status.
Added guests become eligible for event-based email campaigns.
Added guests do not appear in the quick-status filters.
Cautionary Notes
Waitlisted invoice-based registrations will not move forward until payment is received or marked as paid.
Capacity-based waitlist approvals must be done manually when space opens.
Tips for Efficiency
Use quick filters to instantly see who is registered, overdue, or waitlisted.
Add guests early if you plan to include them in event-related email campaigns.
Regularly monitor capacity and waitlists to manage attendance smoothly.
